Meeting Minutes
2/19/07
Our President, Al Sandham, called our meeting to order.
The treasurer, Eileen, read her report. Our present balance is $6,301.34.
Old Business: We can not mail out ballots to vote for new officers. All members must be present to vote. Therefore, we will have a short meeting at the Opening Ceremony to nominate candidates for office and will vote at the Closing Meeting.
Bob made an announcement that all medals will be brought to the opening meeting. Venue managers need to have a count of Gold, Silver and Bronze medals needed for their sport, and give totals to Bob before the meeting so that he could give you the correct amount of medals.
Brent, our County Recreational Coordinator, requested that we have billiards at George Pierce Park in the future because of the spacious billiard set-up.
Al read the menu for the Opening and Closing Ceremonies. The catering this year will be done by Longhorn Steak House (choice of steak or chicken). The members were pleased with what they heard and we are sure all attending will be happy with the new menu. Bob has found a sponsor to furnish coffee. Its’ name is “Jittery Joe’s.”
Doug is getting the member’s gift from Kroger for a reasonable price. We are excited to announce that we are going with First Aid Kits for home use or for your car.
Our Olympic lapel pins we have chosen have been ordered and paid for.
Delta will provide our T-shirts, red or sage green. We pay extra for silk screening and the logo. Al made a motion and Eileen seconded it for the T-shirts.
We are pleased to announce that our Senior Center has paid for all postage and printing of our booklets. We really appreciate their support. Also, Thank you letters will be sent to Security Bank of Gwinnett for $300 and also will go to Homestead Bank for their donation of $300. We truly appreciate all the support we receive from community businesses. Without their help, we would not be able to provide a fun time with great food, wonderful gifts and exciting prizes to our Gwinnett County Seniors. So a heart warming Thank You goes out to all our sponsors and to our members that worked so hard at getting these sponsors for us.
Al complimented all venue managers from last year and is pleased to see many are returning to help out again this year. If any venue managers need volunteers, let Al know. Marti’s organization can provide volunteers if we do need more.
New Business: Gwinnett Senior Olympics is a corporation “Gwinnett Senior Golden Games, Inc.” The annual registration for the corporation has been filed and recorded with the Secretary of State. Annual cost is $30.
Application for funds from Walton EMC “Round up program” has been prepared and a request for a grant for $5000 was submitted.
Brochures have been mailed to previous participants. Extra copies are available for general distribution. Our Publicity Chairperson, Billye Jo, has done a great job designing a beautiful flyer to be hung up in bowling alleys, grocery stores, etc. Forms are available at the front desk at our Senior Center.
Note: There is a slight error in the booklet under Rummikub. For times and dates, it is listed under table games page 17. Rummikub comments on arranging the order of play have been voiced and the venue manager was advised.
Suzie announced that Larry Hanna set up our new electronic record keeping program. She suggested that we pay his son for his time he generously gave us for helping Larry to perfect the system. Al suggested we discuss this matter at our closing ceremony. Posting information on the internet should be a lot quicker with this new system. Also, we need a nominating committee for the May meeting. This committee needs to be set up by March.
Other business: Bob has a contact that could supply us with Senior Olympics logo towels for $5.00 each if we are interested in using them.
Judith gave a report on prizes. She said we have over 40 so far. We have quite a variety this year. You will be thrilled with the exciting gifts that were chosen for you. So get your application from the booklet and mail it to us TODAY. The fee is $15.00 for participants and guests. We hope all guests will become members so that they will receive the gift, the t-shirt and a chance to win some fabulous prizes. Make sure you mail it by March 15th. There is no late fee but any applications received after March 31st will be returned. So mail it TODAY.
NOTE: The National Senior Games will be held in Louisville, KY, June 22 thru July 8, so there will be no conflict with our 2007 games.
Charles made a motion to adjourn the meeting. Dana seconded it. Our next meeting is March 19, 2007.
